This guide focuses on creating a clean, new Outlook profile to connect to your mailbox in the Target Tenant (New Company) using your new account.
Phase 1: Close Outlook and Access Mail Settings
Exit Outlook:
Ensure the Outlook desktop application is completely closed.
Check your system tray (bottom-right on Windows) or menu bar (top-right on Mac) and confirm the Outlook icon is gone, or right-click it and select Exit/Quit.
Open Control Panel (Windows):
Click the Start Menu and search for Control Panel.
Change the View by setting (top right) to Large icons or Small icons.
Click on Mail (Microsoft Outlook).
Manage Profiles:
In the Mail Setup window, click the Show Profiles... button.
You will see the old profile (usually named "Outlook" or related to the old company).
Phase 2: Create the New Profile
Add New Profile:
Click the Add... button.
Enter a new, clear name for the profile (e.g., New Company Profile or Target Tenant).
Click OK.
New Account Setup:
The Add Account wizard will launch.
Enter your new work or school email address (e.g.,
user@newcompany.com).Click Connect.
Outlook's AutoDiscover service should find your new mailbox in the Target Tenant.
Sign In:
Enter the password for your new Target Tenant account when prompted.
If required, complete the Multi-Factor Authentication (MFA) process.
Click OK or Done once the connection is verified.
Finalize Settings:
You may see a screen showing the offline settings. The default Cached Exchange Mode setting (usually 12 months or 3 months) is typically fine. Click Finish.
Phase 3: Set the New Profile as Default
Set Default Profile:
You will return to the Mail window showing all profiles.
At the bottom, under When starting Microsoft Outlook, use this profile:
Change the selection from Prompt for a profile to be used to Always use this profile.
Select your New Company Profile from the dropdown menu.
Click Apply, then OK.
Launch and Verify:
Open Outlook. It should now automatically use your new profile and connect directly to your new mailbox in the Target Tenant.
Verify: Check that your email, calendar, and contacts are accessible and up-to-date.
Important Note on the Old Profile: You can leave the old profile in the list for a few days, but once you confirm the new one is working correctly, you can safely return to the Show Profiles window and Remove the old, non-functional profile to avoid confusion.
